1. A new release naming convention and a revised release timeline was proposed and discussed. The working group decided to go ahead with the proposal. The proposed release process can be accessed here
2. Two team formed to further detail the process and come back with their recommendation in the next meeting

• Team -1 (@vinukumar-vs @santhosh-tg @kiranharidas187 ) to detail the branching strategy for the Major Release
• Team - 2(@Prateek-slokam @chitranshu-keshav ) to detail the quality gate criteria for the minor release candidates

3. The release post 5.2.0.0 will follow the new release naming convention i.e. the next release post 5.2.0.0 will be 6.0.0 and it planned to be made available for adoption on 1st June 2023. The release calendar will be update with the other dates of 6.0.0 release

@chitranshu-keshav In the deck itself against every type of release, can you put the support timeline ? Eg X months from release/ Y years from release & so on.. Also if we can publish this on the ed site in some way - Eg https://developer.joomla.org/roadmap.html that would be great.

Generally can we ensure all official content around releases, roadmaps, support etc is on the docs site and not linked into any other software like Google docs etc ? It will help in the easier discovery .

1. The draft of the Quality Gates as well as the Branching Strategy for the Major Release was present to the team to seek feedback. Based on the feedback a final version has to be discussed and agreed in the next meetings

Summary of what was discussed:
a) 6.0.0 release will go as planned - 5th May is the code freeze and 2nd June is the release date. @kiranharidas187 to get back by 25th April eod, if this date needs any change to accommodate SL contributions. 
b) Angular scope for 6.0.0 release. Portal will be on Angular 14. Mobile will be on ionic 6 and Angular 13.
c) @parthlawate to set up a call with Santhosh G, Vinu, Santhosh V and Krishna to review the current infra allocation for Sunbird SAAS for ways to optimize the current infra.
d) @parthlawate highlighted the lack of documentation as a blocker for adoption of ML contributions by other adopters. @kiranharidas187 to communicate with @Prateek-slokam and share plan for documenting the installation, functionalities and tech architecture in the respective Sunbird microsites.
e) @parthlawate to arrange for Admin tools demo in the next working group meeting.

@Krishnaj20 We had a discussion regarding the 1st point and we have following concerns and points:

1. As of today, giving a specific timeline is honestly just to shoot in dark because two major blockers exist, vis a vis, The lack of the dev environment setup with release branch of 6.0 and the app handover by EkStep after Angular update. Specially without the dev setup and release branch we are completely blocked on any PRs or testing activities.
2. The 6.0 release is not just an angular activity for us but also has major business need which have been called out before also specially the consent based PII for programs (and by extension project, observation and survey). So the accounting for that needs to be taken which is dependent on the first point too.
3. However, we did do a time effort analysis and with the assumption that we get the dev setup and the mobile app release with Angular changes this week, we will too need time till June 15 for sign off to regression. This also is considering that the functional testing would also have to be completed for which about 2 weeks time is needed

Dev infra was cleaned up & everyone struggled to setup as team is not aware of how to setup for their use-cases itself.

I can understand everyone who depend on dev infra struggling to setup the workflows but it will not impact the Angular migration activity & functional development work(as everyone was pointing to staging before).

Lets discuss in today's call what can go in release 6.0 & what is the new timelines to push other functional items & their priority(check if the scope can be changed or descope).

As we use same infra for Dev & staging, going with different release will impact on infra availability for dev & staging later as well.

@Krishnaj20 As you are aware PII is one of the main functionalities that our team is working on for the 6.0 release. With the security encryption enhancement for the Lern BB, our team is also working to make required delta changes for this new PII data product. Thus, as a result of this we have discussed and identified two mechanisms for the Lern BB drop:

1. There is a single drop of Lern BB with the above mentioned changes too. For the same we have also asked @rhwarrier to add an extra 2 days in the drop timeline. Thus, ED will in one go take this build.
2. There is an incremental drop, first with the already made changes by Lern team and then a build over it with the delta changes for the new PII data product for programs. Thus, ED would have to take a pull also incrementally in two phases.

We can have a common discussion too for this with Rahul, if there are any other questions.

1. Discussed the Release 7.0.0 calendar with all the participant. The team agreed on the overall dates of the major and minor releases and the related milestones. A separate discussion has to be setup to decide on how to manage the deployment of new release version of the backend building blocks. As of now the new version of the building blocks will be deployed in development environment as per the dates in the calendar.

Updates and Action item from today's meeting:-

1. Release 7.0.0 scope walkthrough was done by both EKstep and Shikshalokam teams. The epics needs to tagged to release 7.0.0 sprint in Jira by all the teams.

2. Release scope is still under discussion, Scope once finalized has to be updated on the micro site along with the impact by 22nd of September.

3. All the impacted contributors will be involved in the design discussions related to the items planned for next release.

4. Santhosh G updated that the existing Dev env of Sunbird Lern and Sunbird inQuiry will be decommission by 22nd of September. Going forward Sunbird Lern and Sunbird inQuiry will use Sunbird ED dev environment and release calendar. As a result of this the minor releases for ED is not possible. The team decided that the next release post 6.0.0 will be 7.0.0 major release in December 2023. In the next 2 months the release definitions, environments and the calendar will be revised to accommodate the change post 7.0.0 release.

5. The Sunbird ED 6.0.0 release is planned for 20th of September. The certification of Sunbird ED 6.0.0 release on a non Azure environment might be delayed from the original date of 4th October because of infra setup issues.

1. Discussed about the dev environment strategy for Sunbird ED, inQuiry, Lern & coKreat with all the participants. The team agreed on decommissioning Sunbird Lern, Sunbird coKreat and Sunbird inQuiry dev environments and continue to use Sunbird ED dev environments going forward. The exact date of this transition will be published later.

2. Discussions done about the need for Dev & Staging environment for SunbirdED. Do we really need 2 environments or 1 environment or more? Team after deliberations agreed that SunbirdED will need Dev and Staging environment. And , Staging environment will be only bought up to support ED regression validation.

3. @AmiableAnil @sajeshkayyath @vinukumar-vs will take the ownership and come up with the plan on how to merge existing individual Dev env of Sunbird Lern, Sunbird coKreat and Sunbird inQuiry to use the common Sunbird ED Dev environment.

4. @kiranharidas187 @Prateek-slokam will take the ownership and come up with draft governance principles which will be discussed with the same stakeholders next week (w/e 22nd Sep).

Sajesh to set up a call with @vinukumar-vs and came up with a plan on how to productionize inQuiry V2 changes.

4. @Santhosh Gandham need to come up with a checklist where developers, QA can go through before putting up on devops channel. On weekly basis devops team will publish a report on what operations has happened along with the particular reason for that issue. incase if there are any recurring issues devops team need to setup a call with larger audience and look at a permanent fix.

Updates and Action items:-

• Discussed with all the participants on plans for OCI testing in future, the team concluded saying there is cost involved in testing every release on OCI env, hence going forward testing will be done only on Azure staging env. Testing on OCI env will be done only if there is a requirement to test a feature on the OCI environment.
• R9.0.0 Roadmap Planning Starts from this week, all the contributors need to come up with planned jira stories by next week that is 14th Jun 2024.
