This SOP defines responsibilities and processes for monitoring the implementation of SOPs in their most up-to-date version.
This will require:
(1) strict version control of all SOPs (as defined in SOPxx on "how to write/issue/distribute SOPs"?)
(2) a mechanism to ensure access to (only) the most up-to-date version of an SOP (as defined in SOPxx on "how to write/issue/distribute SOPs"?)
(3) where possible, implement processes which include a step that verifies/captures which version of the SOP has been used,
(4) devising a system for monitoring the implementation of the SOPs. This may include the following options:
a) in the context of (3) an automated system to validate the SOP version being used (possibly alerts if a deprecated version is used).
b) internal and/or external checks or audits which review the compliance with the SOP as well as the use of the appropriate version.
Motivation
SOPs are valuable assets that ensure that processes are consistent and compatible across systems and organisations. This is essential for creating a robust and functional system, especially in highly complex settings (such as GDI). In order to avoid operational issues, deviations from SOPs should be kept to a minimum, SOPs must be updated when necessary and any new versions need to be implemented in a timely manner.
This SOP is key to ensuring that SOPs are implemented correctly across the system/node by introducing a process for monitoring the implementation.
